As part of a world leading geotechnical contracting group, Bachy Soletanche Limited specialise in all aspects of modern Geotechnics and Foundation Engineering, including bored and displacement piling, diaphragm walls, grouting, mini piling, anchors, ground improvements and environmental engineering. To complement and strengthen our existing teams, we have a fantastic opportunity to join our High Speed 2 Joint Venture construction project as a Project Administrator, based in Coleshill.

About The Project

The HS2, N1/ N2 project covers the northern 90km section of Phase 1 of the overall HS2 scheme to provide a new high-speed rail connection between London and the North of England.

A joint venture incorporating Balfour Beatty Ground Engineering (BBGE) and Bachy Soletanche Ltd (BSL) were appointed by BBV, (Balfour Beatty/ Vinci JV), to deliver the geotechnical works required along the approximately 90km of route from Leamington Spa to Lichfield.

The works comprises extensive geotechnical works including:

  • Circa. 9km of Diaphragm Walls at 9 individual structures.
  • 28No. Secant/ contiguous structures totalling 150,000 lin. m of piling
  • Plunge Columns, Tension Piles, Ground Anchors, Soil Nails and Ground Improvement
  • 103No. Piled bridges & viaducts.

Programme is for commencement of construction works in October 2020, with a duration of circa 4 years to complete. This is a key infrastructure project and with circa £100m of spend per annum the geotechnical works is a significant element of the works for the project.

Main Purpose Of The Job

The Project Administrator is responsible for providing comprehensive administrative support to the Project Management team. The Project Administrator will be responsible for a broad range of administrative tasks e.g data collection and input.

Key Accountabilities

The Project Administrator will undertake a full range of administrative duties to ensure an efficient service is delivered. These include:

  • Inputting site operational information into relevant spreadsheets
  • Inputting site allocation data into relevant spreadsheets – staff, labour, materials & plant
  • Uploading site documents to BC – working with the SB3 document control team
  • Maintain and update office notice boards with relevant information
  • Co-ordinate with the internal training and competency team and relay training course requirements to site operatives
  • Maintain site registers for briefing attendance / H&S inductions
  • Act as the first point of call for the client’s Office Administrator
  • Responsible for ordering and distribution of Personal Protective Equipment for site team
  • Perform general office duties such as ordering office supplies
  • Daily input and management of hours worked for all site operatives and site staff, and feeding into People Allocation Sheet
  • Daily updating Plant/Equipment Allocation Sheet
  • Collection and submission of Plant and Equipment Maintenance Sheets
  • Calculation and submission of total hours worked
  • Daily updating of Materials Received Allocation Sheet
  • Calculation and submission of total number of deliveries
  • Coordination with Finance Team regarding deliveries e.g paperwork collation and inputting
  • Data input from site activities to reports and records
  • Coordination with Site Management and Resources Team regarding staff and operative training schedule
  • General administration e.g photocopying, scanning and filing
  • Ordering office supplies and stock check
  • Supporting Project Manager and Engineers with report writing/collection of data
  • Play an active part in the continuous improvement of administration processes and duties

Personal Qualities & Experience

The ideal candidate must have a self-driven attitude and show the ability to use his/her initiative for everyday tasks and be able to work well under pressure.

  • A thorough knowledge of Microsoft Office, including Word, Excel, Outlook.
  • Knowledge of document control systems preferable – Business Collaborator, PIM etc
  • Strong organisational, time management and workload prioritisation skills.
  • Attention to detail and accuracy.
  • Work well within a team environment but also capable of working without supervision.
  • Enthusiastic and proactive with a willingness to learn.
  • Work well under pressure
  • Experience of office administration in a busy site office with a good knowledge and understanding of Administration duties.
  • Excellent communication skills with the ability to quickly establish and maintain strong relationships across all levels.
  • To be resilient with a positive and confident approach.

Physical Working Environment

Normal office conditions in Coleshill, Warwickshire, with occasional external meetings with clients and suppliers/subcontractor and site visits to HS2 worksites.
